UK Wedding Planning Timeline: When to Book Everything and In What Order
One of the questions I hear most often from newly engaged couples right after "where do we even start?" is "when do we need to book everything by?" And I completely understand the overwhelm. You get engaged, everyone starts asking whether you've set a date, and suddenly it feels like you're already behind before you've even begun.
The good news is that with the right timeline in place, wedding planning doesn't have to feel frantic. Here's my expert guide to exactly what to book, and when, so you can approach your planning with calm and confidence.
As Soon as You're Engaged
Before you do anything else, take a breath and enjoy being engaged! You don't need to dive into planning the day after the proposal. But when you're ready, here are the very first steps:
- Have the budget conversation. Agree on a total figure and who is contributing before you look at a single venue. Everything else flows from this.
- Roughly agree on guest numbers. This will determine what size of venue you need.
- Think about your preferred time of year. Season affects everything from venue availability to flowers to what your guests can wear.
18–12 Months Before the Wedding
This is the time to secure your big-ticket suppliers the ones who can only do one wedding per day and who book up fastest.
- Book your wedding venue. The most popular UK venues, particularly in the Cotswolds, London and the Home Counties, can book out 18–24 months in advance. Don't delay once you've found the right one.
- Hire your wedding planner. If you're working with a planner, get them on board early. The sooner I'm involved with my couples, the more value I can add from venue negotiations to supplier recommendations.
- Book your photographer and videographer. These are the most in-demand suppliers after venues. The best ones fill up quickly, especially for summer Saturdays.
- Start researching registrars or celebrants if you want a legally-binding ceremony or a bespoke humanist ceremony.
12–9 Months Before the Wedding
With venue and photographer secured, now it's time to build your supplier team.
- Book your caterer (if the venue is dry hire or doesn't include catering).
- Book your band or DJ. Live bands in particular have very limited availability on peak dates.
- Meet with florists. Luxury florists book up, so don't leave this too late.
- Start dress shopping. Wedding dresses can take 6–9 months to arrive after ordering, so starting early gives you breathing room for alterations.
- Send save the dates once your date and venue are confirmed.
9–6 Months Before the Wedding
The planning is now in full swing.
- Book hair and makeup. If you want a particular artist, they fill up quickly for popular dates.
- Book your wedding cake.
- Book transport wedding cars, minibuses for guests, etc.
- Arrange accommodation for yourselves and out-of-town guests.
- Plan your honeymoon and make any bookings.
- Begin thinking about stationery invitations should go out 3 months before the wedding.
6–3 Months Before the Wedding
The details are coming together.
- Send your wedding invitations with an RSVP deadline of 6–8 weeks before the day.
- Book any additional entertainment — photo booths, musicians for the ceremony, etc.
- Confirm all supplier details and begin finalising contracts.
- Work on your wedding day timeline. (This is something I create in detail for all my One Oake couples read more about how I build your wedding day schedule here.)
- Plan your rehearsal if you're having one.
3 Months–The Big Day
The home straight!
- Chase RSVPs and finalise your guest list and table plan.
- Final dress fittings.
- Final supplier confirmation calls.
- Prep your wedding morning emergency kit. (See my full guide here.)
- Hand everything over to your planner or coordinator and actually enjoy the run-up to your wedding.
The most important thing I can tell you about wedding planning timelines is this: don't try to do everything at once. Work through it in stages, focus on the most time-sensitive bookings first, and give yourself permission to enjoy the process. Your engagement is one of the most exciting chapters of your life — you deserve to enjoy every moment of it.
