What Is the Difference Between a Wedding Planner and a Venue Coordinator?
This is one of the most common questions I'm asked, and it's such an important one because the answer surprises a lot of couples.
"But our venue has a coordinator, so do we really need a planner?" I hear this regularly, and I completely understand the logic. If the venue is providing someone to help, surely that's the same thing? The short answer is: not quite. Let me explain the difference, because it could genuinely change how your wedding day feels.
What Does a Venue Coordinator Do?
A venue coordinator is employed by your wedding venue. Their job is to look after the venue's interests ensuring the space is set up correctly, that catering runs on schedule, that the venue's policies are followed, and that everything is handed back properly at the end of the night.
They are brilliant at what they do, and they know their venue inside and out. But their loyalty, quite reasonably, is to the venue not exclusively to you.
There are also some important practical limitations. In many venues, the coordinator who has handled your planning meetings is not the same person who will be there on your wedding day. They may be in back-to-back meetings with other couples, handling multiple weddings in a single weekend, or finishing at a set time in the evening.
What Does a Wedding Planner Do?
Your wedding planner works entirely for you. From the moment you hire them, their focus is entirely on your wedding, your vision and your experience.
An independent planner like myself manages your entire supplier team not just the catering and the room setup, but your florist, photographer, band, transport, cake, hair and makeup. I handle all the communication, all the contracts, all the timelines. I am there from the very beginning of the day to the very end, and I am there specifically and only for you.
Where a venue coordinator manages the venue, a wedding planner manages everything around the venue and the two work together beautifully when both are in place.
A Real-World Example
Let me give you a practical illustration. On the morning of a wedding, your florist arrives late, your photographer has a question about the timeline, and a family member is asking where they should sit for photos. Your hair and makeup is running 20 minutes over.
A venue coordinator is managing the kitchen, the tables and the front-of-house team. They can't leave to deal with your florist.
Your wedding planner? Already on the phone with the florist, has rescheduled the photo timeline by five minutes, has spoken to the family member, and has let you know there's nothing to worry about all before you've finished having your hair done.
That is the difference.
Do You Need Both?
In many cases, yes and they complement each other perfectly. The venue coordinator ensures the venue side runs flawlessly. Your planner ensures everything else runs flawlessly, and acts as the single point of contact between all your suppliers so that nothing falls through the gap between them.
